How to Use the File Manager
This feature requires Author user level or higher.
MailChimp's File Manager is a place to store images, documents, and other files you include or link to in your campaigns, templates, or signup forms. You can import files, create folders, sort and filter your files, and integrate them easily into your campaigns from several places in your account.
Where to Access the File Manager
You can access your files to add, remove, insert or edit them from anywhere you design templates, campaigns, and signup forms and response emails. The File Manager is accessible in the following places.
- When you edit a Text content block for a template in the Campaign Builder or Template Builder

- When you edit an Image content block for a template in the Campaign Builder or Template Builder

- At the top of the Templates page

- At the bottom of the
Code Your Own editor

-
In the Import from URL editor

-
In the editor for Plain-Text Campaigns

-
In the Form and Response Email Builder on the Build it or Design it tabs

Upload or Import Files
You can upload images to the File Manager from several locations in your account. From within the File Manager, you can also import an image file from a URL, Flickr or Giphy.
In addition to images, we're able to host a variety of file types, as long as they're under 10MB in size. Link text with the file for subscribers to download, and we'll track the clicks in the campaign report so you can see who downloaded the file.
Add Files into Folders
You can organize your files by using the folders feature in the File Manager. Create or delete folders, move batches of files to a folder, or move individual files from folder to folder.
- Navigate to the File Manager.
- Click the checkbox next to the file you want to move into a folder. If you want to move all the files on the page, click the checkbox by the toolbar at the top of the list.
- Click Move To in the toolbar at the top of the list.
- In the drop-down menu, click the name of the folder where you want the files to go, and you're done.

If you haven't already created a folder for the files, click Add in the drop-down menu. Type in a new folder name and click Add or press Enter on your keyboard.

When you're done moving files, MailChimp will leave you on the new folder page where you can further edit, filter, or sort your files.
Search, Sort, and Filter Files
In MailChimp's File Manager you can search, sort, or filter your files to find the one you need.
Search
Type a term into the search bar at the top of the screen and press Enter on your keyboard or click the Search icon.
Sort
Use the Sort By drop-down menu to organize by Date Created, Name, or Size. Click the arrow button to organize files in ascending or descending order.
Filter
Filter options are Uploader and File type. Click Uploader to select a user on the account, and display only files that user has uploaded. Click File type to filter by file type, such as an image, video, or spreadsheet.
Delete Files
If you no longer want to store a file in the MailChimp File Manager, you can delete a single file or several at once. File deletion won't affect the display of sent campaigns or archive pages.
- Navigate to the File Manager.
- Click the checkbox next to the file you want to delete. If you want to delete all the files on the page, click the checkbox by the toolbar at the top of the list.
- Click the Delete button in the toolbar at the top of the list.
- To confirm, click
Delete in the
Are you sure? pop-up modal. If you aren't ready to delete the files, click
Cancel.

On smaller screens, the Delete button will appear as a trash can icon. Its functionality is the same.
It may take 24-48 hours for the file to disappear from the File Manager.
Change Views
Depending on your preference, you can change the File Manager's layout from a tile view or a list view. Use the toggle on the toolbar to switch between the two views.
Used along with filtering and sorting, changing views can help you quickly scan for the files you need. MailChimp will save your File Manager view settings until you change them.
- An updated version of Flash is needed to use the Copy URL function in the File Manager. Learn more about MailChimp's system requirements.
-
When an image file is uploaded to the File Manager, we change the file name in the URL to a unique identification number. This is due to the way that we store image files in our system so no two files have the same name. The system-generated identification number cannot be changed.
-
A non-image file, like a PDF or Excel file, includes the file name of the uploaded file in the URL and is not given a unique identification number. When the file is downloaded, it has the same file name as the uploaded file. Renaming the file in the File Manager does not affect the URL or change the file name when it is downloaded.
